Dear conference participant,

With just over a week to go before the Starburst meeting takes off, here we are sending you the final announcement with mostly practical information. As always, if anything is unclear or if you have any specific issues we need to deal with, please feel free to email us at sb2004@ast.cam.ac.uk - emails to this address will be forwarded to both Suzanne Howard, our conference secretary, and myself, and we will try to deal with your requests as quickly as feasible.

1. TRAVEL INFORMATION:

We have now updated our web site, http://www.ast.cam.ac.uk/meetings/starburst2004, to include the most relevant information regarding arrival in the UK (if you happen to come from abroad) and in Cambridge itself. For completeness, we will repeat this information here:

Upon arrival at any of the London area airports, your options are to either take a "coach" (= the British description of a long-distance bus, operated by National Express), or a train. If you intend to come by coach, we advise you to book your ticket in advance (web site address: http://www.nationalexpress.com), although it should be said that those coaches are rarely ever completely full. It just gives you a bit more peace of mind, and doesn't cost any more than buying a ticket from the ticket office. Choose "CAMBRIDGE, coach stop, Drummer Street, Cambridgeshire" as your destination. Total journey time from Heathrow is about 2.5 hours, from Gatwick 3.5 to 4 hours, from Stansted 40 minutes, and from Luton 1 hour and 10 minutes.

When traveling by train, national rail time tables can be accessed from the National Rail web site, at http://www.nationalrail.co.uk. If arriving at Heathrow airport, the fast (and hugely expensive) option is to take the "Heathrow Express" fast train to London Paddington station, then the Underground (metro) to King's Cross station, and a train to Cambridge. The alternative is to take an Underground train direct from Heathrow to King's Cross station, and then a regular train. In either case, the journey time is just over 2 hours.

From Gatwick, take a Thameslink train to King's Cross Thameslink station, walk a few hundred metres to the King's Cross mainline station (signposted), then take a regular train to Cambridge. Total journey time is about 2 hours.

From Stansted airport, the train is slightly faster (30 minutes) than the coach (40 minutes), but a little more expensive. From Luton, your only option is to catch a coach; journeys by train would need to go into London first (and Luton airport is located in between London and Cambridge).

There are taxi ranks at the train and coach stations in Cambridge, and we would recommend that you take a taxi to your destination. Most conference delegates for whom we have arranged their accommodation will be staying at Fitzwilliam College, see http://www.fitz.cam.ac.uk. Click on the site map of Fitzwilliam College (http://www.fitz.cam.ac.uk/about/map/)to get your bearings. You will need to go to the main entrance via Storey's Way, which is at the bottom of the map.

We have been in touch with Fitzwilliam about checking-in times. The official check-in time is 4pm, but if you are arriving early in the morning or late at night, please let us know (at sb2004@ast.cam.ac.uk) and Fitzwilliam will work around that. There will be a room for you to leave luggage. We will provide delegates arriving at Fitzwilliam College with maps and instructions (see also http://www.ast.cam.ac.uk//meetings/starburst2004/images/Cambridge-map.jpg) on how to get to the Institute of Astronomy.

If you wish to get to the Institute of Astronomy directly upon arrival, we refer you to these directions: http://www.ast.cam.ac.uk/contact/map/. Again, we recommend that you take a taxi from either bus or train station, the cost of which should be around 5 pounds.

2. REGISTRATION AND WELCOME RECEPTION:

If you arrive in time on Sunday, 5 September, you will be able to register from 4pm in the main lobby of the Institute of Astronomy. The Institute will not be open before this time. A welcome reception will subsequently take place from 5-7pm; snacks and drinks will be served (but don't expect us to provide a full evening meal...). Attendance of the reception is included in the conference fee.

The Registration desk will remain open until the end of the reception, and opens again on Monday morning, 6 September, from 9am.

3. INFORMATION FOR SPEAKERS:

The Institute of Astronomy's lecture theatre is well equipped with audio-visual aids. We will, as standard service, provide:
- an overhead projector;
- a data projector (for power-point and other computer-aided presentations);
- a 35mm slide projector;
- black boards.

If deemed necessary, speakers can also use a microphone to be heard better, while the theatre is equipped with an induction loop for hearing-impaired participants.

Note, if you will be giving a computer-aided presentation, you MUST test your equipment BEFORE the start of your session. Alternatively, you can email us (sb2004@ast.cam.ac.uk) your power-point or other electronic material (or provide it on a memory stick), which we will then collect on a dedicated laptop computer.

If you have not yet provided your final abstract, you can still send it to us, and we will update the on-line version of the abstract book (and possibly insert it as a late abstract in the printed version).

4. INFORMATION FOR POSTER PRESENTERS:

We expect a large number of posters at this meeting, in fact quite a few more than we had originally expected. However, we are confident that we will be able to find suitable space to exhibit them all. In view of this, we request that you limit the number of posters you will present to ONE (except those people with whom we have been in contact about this).

Our poster boards are 115cm wide and about 90 cm high; there will be a poster display above or below it, so please restrict the size of your poster to these dimensions.

We will provide material to attach your poster to the boards. You will find a final list of posters in your registration pack, each assigned a number corresponding to a numbered poster board. Please stick to these assigned spaces.

If you have not yet provided your final abstract, you can still send it to us, and we will update the on-line version of the abstract book (and possibly insert it as a late abstract in the printed version).

5. CONFERENCE DINNER:

The conference dinner will be held on Thursday evening, 9 September, at Queen's college in the centre of Cambridge. After a standing reception, starting around 7pm, you will be served a 3-course meal (vegetarian option available, please indicate).

You can still order your meal ticket, by telling us BEFORE Monday 6 September, 13:00 (1pm); tickets cost 40 pounds.

The dress code at the dinner will be "smart casual".

6. OTHER PRACTICAL INFORMATION:

A. Lunches

Lunch will be available at our neighbours, Churchill College (pay at the cash register). A number of our students will show you the way on Monday. B. Internet

During the meeting, you will be able to log onto our network to connect to your home institute. Details will be announced on Monday (ask if you need it earlier).

C. Proceedings

Information about the conference proceedings has been posted on our web site; please note the HARD deadline for manuscript submission of 15 November 2004. You will be required to fill out a copyright transfer form upon registration.

All in all, this promises to be a really exciting meeting, we are definitely looking forward to it!

We certainly look forward to seeing you in Cambridge! And by the way, the weather in Cambridge -- while generally not too bad -- can be unpredictable at this time of the year, so we suggest you bring an umbrella... Let's hope we won't need it!
